01 · The problem

Busy phone. Quiet calendar.

You will know this one.

The phone rang all week. Next week’s schedule still has holes. Both are true at once.

The reason is hiding in your last twenty calls. This lesson sorts them.

The final title will use the real count once a contractor shares their records with us.

02 · The proof

Calls, leads, and jobs are three different counts.

The lesson in these numbersA ring can be spam. A missed call can be a customer who called back. A booked job can still go unpaid. Count each stage on its own. Do it before you buy anything that promises to fix one of them. Missed calls times an average ticket is a guess, not a count.
03 · What is wrong

Sort the twenty. Find the ones nobody owns.

How we sort them on screen.

  • Six buckets. New lead. Current customer. Spam. Repeat call. Wrong kind of work. Unknown.
  • For each real lead: Did they get a useful reply? Was a next step agreed? Who owned it? What happened?
  • Unknown stays on the sheet. A call you cannot trace is a finding, not a gap to hide.

The usual result is not “you need more leads.” It is two or three real leads sitting in the Unknown column with no owner.

04 · The fix

Give the lost lead an owner and a list.

One fix, done on screen.

  • Pick the newest real lead with no owner.
  • Give the callback to a named person, with a time.
  • Put it in a list that person actually looks at. The CRM if you have one. A shared note if not.
  • Call the customer back. Write down what happened, whatever it was.

If your software can already hold this list, we set it up. This episode may end with you needing nothing new.

05 · Try to break it

Does the list survive a normal Tuesday?

It is not fixed until this passes.

  • Add a new lead while the owner is on a job. Does it land on the list with a name?
  • Leave one item alone for a day. Does anyone notice?
  • Have someone else read the list cold. Can they tell the next step for every row?

  • Time to the first human reply. Auto-replies do not count.
  • Where the contractor shares it: quote sent, quote accepted, job done, money in. Each counted on its own.
